The formulas

How the math works

Concurrent seats

Roster size ÷ accounts one chatter works at a time, rounded up. This is how many people must be online at once.

Staffed hours

Seats × daily coverage hours × 7 days. The real size of the staffing problem, in hours a week.

Headcount

Staffed hours ÷ the weekly cap per chatter, rounded up. The number that goes in the payroll budget.

The buffer

Headcount × 1.15, rounded up. Every roster loses shifts to sickness, no-shows and churn. Budgeting zero buffer means your coverage target is fiction.

The fine print

What a planner cannot know

This plans the seats. It does not tell you whether the seats pay for themselves. That takes revenue per staffed hour, by shift, per account: which hours actually convert and which are quiet. A planner cannot know that. Your records can.

Averages hide the gaps. An agency can staff the right total hours and still leave its highest revenue window empty every night. Coverage is not a number, it is a schedule.
