Closing the month

The quietest of the eight, and the one the other seven depend on. If the month never actually closes, none of the numbers in it are safe.

What usually happens

Month end is a reconstruction project

Export, paste, chase the missing shifts, argue about two of them, adjust a formula, pay. It takes a day or two, it happens under time pressure, and the person doing it is the person who least wants to be doing it.

The deeper problem is that the spreadsheet gets rebuilt every time, so history is not stable. Someone corrects a formula in June and March quietly changes. Now the figure you showed a chatter in April no longer exists anywhere, and if anyone ever asks you to justify a past payment, the evidence has silently moved.

What the record shows instead

Close, review, lock, export

  1. You close the period, which stops new activity being counted into a month you are about to pay.
  2. You review the computed pay against the reconciled ledger, rather than assembling the pay from scratch and hoping the two agree.
  3. You lock it. The figures the pay run used are now fixed, and that is the version everyone can see.
  4. You export for your accountant, and the export is yours whether or not you stay a customer.
  5. Anything that arrives late appends with a reason, a date and a person attached. Corrections are visible as corrections, which is different from history changing.

How this number is made

A locked period stores the actual figures the pay run used, not a query that will be re-run later against data that has since moved. That is the difference between a record and a report. Adjustments after the lock are appended to an audit trail rather than overwriting it, so a closed month can be explained months later, including the parts that were wrong at the time and were fixed afterwards.
