What actually happens, and how long each part takes

The data is the easy part. Moving people is the part that takes time, and any vendor who tells you otherwise has not done it. Here is the real shape of it.

Day 0, 20 minutes

The reconciliation test

Before anything moves, bring one creator’s Statements page to the call. We connect that account and put our numbers next to the platform’s, live, to the cent. If it does not match, the migration conversation stops there and you have lost twenty minutes.

Day 1

Roster connected, history in

Accounts connect and backfill. You send us whatever export you have from your current tool and we do the mapping, then show you a reconciliation of what landed and what could not be matched. This is usually a single working day.

Days 2 to 7

The team moves

Chatters get their own logins, the schedule goes in, and shifts start carrying revenue. This is the week that takes real effort, because you are changing how people work, not just where they log in. Run it alongside your current tool rather than switching cold.

End of month 1

First locked payroll

Close the period on the new record, review the computed pay against the old method, and lock it. Do not close your first period on our numbers until you have checked them against your own. That is the point at which the migration is actually finished.

What usually goes wrong

Three things, and none of them are technical. Knowing them in advance is most of the fix.

The old export is incomplete

Most tools export totals cleanly and per-fan history badly, and some export shift records not at all. We will tell you what is missing rather than quietly filling the gap with an estimate. Anything we cannot source is labelled, not invented.

Chatters resist their own login

Named logins and shift attribution mean individual performance becomes visible. Expect pushback from whoever benefited from the old ambiguity, and expect your best chatters to be the ones asking why it took so long.

The first reconciled month looks worse

Net reconciled against the Statements page is usually lower than an estimate from an activity feed, because reversals and unfinished days were being counted. Nothing has changed except that you can now see it. Budget for the conversation.

Before you commit to moving

What exactly do you mean by “billing does not start until it works”?

Your plan begins on the date your roster is connected, your team is clocking into shifts, and your reconciled totals tie to your Statements pages. Not the date you agree to switch, and not the date we start the import. If we cannot get you to that state, there is nothing to pay and you keep whatever we loaded, as an export.

Can I run FanOptik and my current tool at the same time?

Yes, and we recommend it for at least the fourteen day pilot. Connect the same accounts to both, then compare each tool’s totals against the same Statements page for the same date range. Switching cold on a promise is the version of this that goes badly.

What if my old tool has already shut down?

We can still work with what you have, including a folder of CSVs or spreadsheets someone kept by hand. Send it in whatever state it is in.

Do I have to move every creator at once?

No, and you should not. Start with two or three accounts and one shift team, close a period on them, then bring the rest across once you trust the numbers. A staged migration costs you a couple of extra weeks and removes almost all of the risk.

And if we want to leave you later?

Full export of every record, any time, no retention conversation, written into our terms. We would rather keep you with the product than with a hostage, and we would rather you checked that promise now than discovered it later.
