How to switch agency software without losing data

Moving tools is mostly about people and timing. The data stays safe if you do it in the right order.

Most agencies put off a move because they fear losing a month of records. That risk is real if you switch cold. If you export first and run both tools for a while, it shrinks a lot.

Export everything first

Before you change anything, take a full export from your current tool. Ask for sales per fan and per day. Ask for shift records and past pay runs too. Totals alone will not let you rebuild a month that someone disputes.

Store the files somewhere you control, and note what the export left out. Some exports carry totals well but per-fan history badly. Knowing the gaps now saves a hard talk later.

Run both tools side by side

First, connect your creators to the new tool while the old one keeps running. Do not cancel anything yet. For most rosters, two weeks to a month of overlap is enough.

During the overlap, keep paying from the old tool and use the new one to check its numbers. Switch pay over once both tools match the platform for a full week.

Compare against the Statements pages

Neither tool is the judge. The creator’s OnlyFans Statements page is. Pick one creator and one finished week. Then put both tools’ net totals next to the Statements page. Use the same days and the same time zone.

Often, the new figure differs from an older estimate. Refunds and unfinished days are the usual cause. Before you trust either number, find the reason for each gap.

Move chatters by shift

Do not move the whole team on one morning. Move one shift at a time, starting with the quietest. Each chatter gets their own login, and the schedule goes in before their first shift on the new tool.

Once a shift runs cleanly for a few days, move the next one. Sales then land on the right person from day one. The last step is your first locked pay period on the new tool. Before you lock it, check it against your old method.

Tell the team early

Chatters notice a new tool on day one. Give them a week of notice before their shift moves. Explain that sales will be credited by shift on the new tool. Some will like that more than others.

Name one person who answers questions during the move. That person also collects anything that looks wrong. It all gets fixed before pay day.

Keep the old account for a while

After the switch, keep read access to the old tool for at least one more pay cycle. Months later, a late chargeback or a pay question may still need the old records. When the first month on the new tool has closed cleanly, you can cancel.
