A checklist for closing an agency’s month

Five steps in a fixed order. Each one depends on the step before it, and the checks get easier when you keep the order.

Month end goes wrong when the steps run out of order. Pay gets worked out before refunds land, or invoices go out before anyone checks the money. This checklist fixes the order. Give each step a fixed day in your calendar. After two or three months, the close takes far less time.

The checklist

01
Match each creator to the Statements page
Open each creator’s OnlyFans Statements page for the month. Compare its net total with your own record for the same days in the same time zone. When the two differ, look for a missing day or one that was still open when you pulled it. Fix the gap before you move on.
02
Sweep refunds and chargebacks
List every refund and chargeback in the period. Take each one out of the sales it came from. That lowers the credited total for the shift that made the sale. After the month ends, wait a few days so late refunds land first.
03
Lock pay
Next, work out each person’s pay from the swept numbers and review it. If a number looks wrong, fix it before the lock. Then lock the period. A locked period keeps the figures it used, and anything that arrives later goes into the next period with a date and a reason. Then send each person their payslip from the locked figures.
04
Invoice creators
Bill each creator from the same locked numbers. Say whether the rate is on gross or net. Put tips on one line and messages on another. If a chargeback came in after last month’s invoice, carry it as a credit. A creator should be able to check every line against their own Statements page.
05
Export for the accountant
Send the accountant one file per creator with sales and payouts by month and by day. Include refunds and leave fan names out. Mark which column is income. Some accountants report gross and list the OnlyFans fee as an expense. Give them both figures.

Signs the month is still open

  • A total for a past month changed after you paid people from it.
  • A chatter asks about their pay, and nobody can show the shifts behind it.
  • A creator’s invoice does not match their Statements page.
  • A refund from last month shows up in nobody’s pay.

If any of these happen, go back to the first step for that creator.

Doing this in FanOptik

In FanOptik, each money figure is matched to the creator’s Statements page. Suspected reversals are flagged before the period closes. Pay is worked out from the swept numbers, and then it is locked.

The Export dialog: pick what to export, the format (Excel, CSV or PDF) and the dates.
The Export dialog, for the files your accountant needs. Demo workspace with test data.

Creator invoicing drafts each invoice from the creator’s sales and checks it against their Statements page. You read the draft and press Issue, and the creator sees it in their own login. If a check fails, you see a warning before you issue it. Exports include an accountant pack that never names a fan. QuickBooks and Xero files are there too. Team pay comes out as Wise or PayPal files that you upload yourself. We never hold or move your money.
